Academic Year

Purpose

The academic years should be set each year. Ideally this should be the dates in which the fees are calculated.

Almost all data is linked to the academic year so it must be set in order to use the system.

Fields

Year title

An identifier for the year. E.g. 2015/2016 or 1438.

Year start date

The full date of the day the year starts

Year end date

The full date of the day the year ends. This would be the last day of school and not the first day of the holiday

New academic years should be set when you're ready to start the new year. For best results and accuracy, you should not set this while the previous year is still active. Once you are ready to start the new year:
  1. Create the new year
  2. Make it the current year
  3. Click on New Academic Year Wizard on the academic year page
  4. Migrate each of the 4 items one by one.
  5. You're now ready for the new year.

Creating a New Year

When you create a new year, it will be blank as in there will be no classes, no students, no fees adjustments etc. as that was all connected to the last year. You will need to either create this data again or migrate it from the previous year
To do this, you will need to set the new year you've just added as the "Current Year" - Then you will need to go to the new year wizard. Go to Academic Years > New Year Wizard button at the top
From here, in order you should first migrate the classes and make the changes according to the new year before completing it. Click the button with timings or without timings to migrate the classes with or without the timings. If you migrate it without the timings you will need to enter each timings manually for each class from the Classes page.
Then you should migrate the students into the new classes you just migrated.
Then you can migrate the fees adjustments and select the ones that are still active and finally you should migrate the fees structure and make the modifications as required.
Remember, you can modify each step of the way and it's simply if you follow the onscreen instructions on each step.
