Fees Structure

Once you've added the classes and students, you can start on your fees structure. There are 2 types of structures.

1. Standard Fees Structure

2. Ad Hoc Fees Structure

Standard Structure

You set the default structure of fees that applies to everyone followed by class by class structure if any class has a different structure. When generating fees invoices, it will generate according to the structure.

Ad Hoc Structure

This feature will allow you to add various structures that are for specific purposes and give them titles. You can then generate invoices according to that structure as often as you want.

This is useful for:

1. Session based invoices. For example, you can create a structure for 2 sessions, 3 sessions, 4 session etc. and then on a weekly, monthly (or any interval you choose) you can generate invoices for the students.
2. Special courses/Weekend classes
3. Extra curricular etc.

To create an ad-hoc fees structure, simply go to Fees > Fees Structure and then create ad hoc fees structure button.

Simplicity

You have full control. All the tools provided will use the fees structure you set. You will set:
  • How many payments you will collect
  • How much each payment will be for
  • What the due date for each payment will be
  • What period (dates) each payment covers
  • Set a completely different structure for some classes
  • Specifiy discounts or increased fee for selected students

Default Fees

The default fees is what the system will use if you haven't set a structure for a class separately.

Tutorial

  1. Go to Fees > Fees Structure
  2. You will see 'Default Fees' there already. Click on Edit to edit the default fees first. This is needed so all classes or students that don't have different rates will use this default structure.
  3. To start you off, click the button
  4. Enter the number of payments you will collect for this academic year. E.g. 12 if you will collect 12 payments (i.e. 12 fees periods).
  5. The pre-fill amount should be what each term payment will be auto-filled with. If some are different, put the amount that applies to most and then you can customise it after.
  6. Now click "Generate Periods Equally" if you want to generate the fees periods equally divided from the year start to year end or click "Generate Periods to Month ends" to generate the fees periods ending at the end of each month.
  7. Once generated, you can tweak each one and ensure all dates and amounts are correct. Generating the periods won't create a fees structure, it will only generate the form items filled in so you don't have to do it manually.
  8. Accordingly, you can add each period manually by clicking to add a new fees period.
  9. Once ready, click on "Update Fees Structure" and it's saved.

  12. Choose the classes that this new structure will apply to and finish the process similar to when you edited the default fees
Your fees structure is now ready...

Adjustment for individual students

Fees adjustments are used to adjust the termly fees for individual students. For example, a discount of £5.00 for every 3rd child or extra £2.50 per term for a students who have extra time. You can do this easily from Fees > Fees Adjustments.

Invoices

Once you've set the structure, you can now automatically generate all the invoices for the entire year for every student. These invoices will be empty and fees received are added against the invoices. The invoices and dates will help determine overdue fees, overpaid fees giving a very clear representation of the data.
To generate all invoices, go to the Fees Dashboard and click on the "Generate Invoices" button. You'll have an option to generate all invoices for the entire year or not. If not selected, it will use the student start date to adjust the invoice pro rata from the date the student started.
